PolicySnap Privacy Policy

Who this applies to

• Agencies and agents who create an account to send requests through PolicySnap.
• Clients who receive a text message with a secure link and use it to upload photos, documents, or fill in requested information — even though clients never create an account.

Information we collect

• From agencies and agents: name, email address, phone number, agency name, and login credentials.
• From clients (via a request link): the specific photos, documents, or information the agent requested (which may include images of a home or property, identification documents, insurance declarations pages, or personal details such as name, date of birth, or vehicle information). We also collect the client’s mobile phone number, provided to us by the agent, in order to send the text message containing the secure link.
• Automatically: basic technical information such as IP address, device/browser type, and timestamps, for security and troubleshooting purposes.

How we use information

• To deliver the core service: generating secure links, sending text message notifications and reminders, and delivering submitted photos, documents, and information to the requesting agent.
• To maintain and secure the platform, including detecting fraud or abuse.
• To communicate with agency accounts about their use of the service.

We do not use client-submitted photos, documents, or personal information for advertising or marketing purposes.

Text messaging

We do not share or sell mobile phone numbers to third parties for marketing purposes. Phone numbers collected for the purpose of sending secure request links are used solely to operate the PolicySnap service.

Clients may receive periodic text messages related to a specific document or photo request initiated by their insurance agent, including an initial message and occasional reminder messages until the request is completed or expires. Message and data rates may apply. Message frequency varies depending on how many requests an agent sends. Clients may reply STOP at any time to opt out of future messages, or HELP for assistance.

How we protect information

Uploaded files and personal information are transmitted and stored using industry-standard security practices, including encrypted transmission (HTTPS/TLS). Access to client-submitted materials is limited to the requesting agent and their agency, consistent with the permissions described in our Terms and Conditions. Secure request links expire automatically after a limited time.

Data retention

We retain information for as long as reasonably necessary to provide the service and to meet the agency’s own recordkeeping needs, or as required by law. Agencies are responsible for determining how long they need to retain client-submitted materials within their own workflows.

Third-party service providers

We use third-party providers to operate the service, including providers for text messaging delivery, email delivery, and secure file storage. These providers process information solely on our behalf and are not permitted to use it for their own purposes.

Your choices

• Clients may reply STOP to any PolicySnap text message to opt out of future messages.
• Agencies may contact us at support@getpolicysnap.com to ask questions about data we hold related to their account.

Children’s privacy

PolicySnap is intended for use by adults (insurance agents and their adult clients) and is not directed at children. Certain document requests (such as a report card for a student discount) may involve information about a minor; in such cases, the information is provided by the responsible adult account holder or the client submitting the request, not collected directly from a child.

Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the “Last updated” date above.
