PolicySnap Terms and Conditions

These Terms and Conditions (“Terms”) govern access to and use of PolicySnap (the “Service”), operated by PolicySnap LLC (“PolicySnap,” “we,” “us”). By creating an account or using the Service, you agree to these Terms.
1. What PolicySnap does
PolicySnap lets insurance agencies and agents send clients a secure link, via text message, to upload requested photos and documents or provide requested information. Submitted materials are made available to the requesting agent and agency.
2. Accounts
Agencies and agents must provide accurate information when creating an account and are responsible for maintaining the confidentiality of their login credentials.
An agency’s designated Agency Admin is responsible for managing which team members have access to the agency’s PolicySnap account and for the checklist items and forms configured for their agency.
Clients do not create accounts. Access to a request is granted solely through a unique, time-limited link.
3. Acceptable use
You agree not to use PolicySnap to:
- Request or submit information you are not legally authorized to collect or share.
- Send messages to phone numbers without the necessary consent from the recipient.
- Attempt to access another agency’s data, requests, or account.
- Upload or request unlawful, fraudulent, or harmful content.
- Interfere with or disrupt the Service’s normal operation.
4. Client consent for text messages
Agents and agencies are responsible for obtaining appropriate consent from their clients before sending a request through PolicySnap, consistent with applicable law (including the Telephone Consumer Protection Act) and PolicySnap’s messaging guidelines. Message and data rates may apply. Recipients may reply STOP to opt out at any time.
5. Ownership of submitted content
As between the agency and PolicySnap, the agency and its clients retain ownership of the photos, documents, and information submitted through the Service. PolicySnap is granted only the limited right to store, transmit, and display that content as necessary to operate the Service.
6. Data handling
Submitted materials are delivered to the requesting agent and stored consistent with our Privacy Policy. Agencies are responsible for how they subsequently use, store, or share materials they receive through PolicySnap, including compliance with any applicable insurance industry recordkeeping or privacy regulations.
7. Service availability
We aim to keep PolicySnap available and reliable but do not guarantee uninterrupted access. Features involving third-party providers (such as text message or email delivery) depend in part on those providers’ availability.
8. Fees
Agencies agree to pay applicable subscription fees as described at signup or in their plan. Fees are described in more detail at getpolicysnap.com/#pricing.
9. Termination
We may suspend or terminate access to the Service for accounts that violate these Terms. Agencies may cancel their account at any time consistent with their subscription terms.
10. Disclaimer of warranties
The Service is provided “as is.” We do not guarantee that the Service will be error-free or that photos, documents, or information submitted by clients will be complete, accurate, or suitable for any particular insurance underwriting or claims purpose. Agencies remain responsible for verifying the accuracy and completeness of information used in their business.
11. Limitation of liability
To the maximum extent permitted by law, PolicySnap is not liable for indirect, incidental, or consequential damages arising from use of the Service.
12. Changes to these Terms
We may update these Terms from time to time. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.
